Access codes are the 6-digit codes visitors type when your audio guides are in closed mode. This article is about the panel side: getting codes, keeping track of them and tidying them up. For what visitors do with a code and how to switch modes, see Close your audio guide with access codes.
The codes screen
Go to Plan and credits → Codes. Administrators see four parts:
- Access mode of your audio guide: whether visitors need a code now and how long a code's pass lasts. It is read-only here; you change it in the Plan tab.
- Codes included in your plan: the free codes left this month, on Premium and Ultra.
- Buy codes: batches of 100, 500 or 1,000 codes.
- Your batches: every batch you have, newest first.
Editors see only the Codes tab of Plan and credits. They can get the free codes of the plan, download and print any batch, and view the codes. To buy codes or change the mode, they press Ask for more codes or Suggest another mode, which writes to the administrators.
Get a new batch
On Premium or Ultra, under Codes included in your plan, choose How many codes and press Get free codes. Premium includes 250 a month that do not carry over; Ultra has no limit.
To buy, find Buy codes, choose a batch and press Buy. The first time, Muvo asks for your billing details; then you pay once by card and receive an invoice.
Back in Your batches, the new batch shows Preparing… for a few seconds and then Ready, with the notice Your 100 codes are ready to print.
Each batch card shows its number of codes, its status, where it came from (Bought on, Included in your plan or Gift from Muvo) and, once ready, a count such as 620 unused · 3 active · 377 used. Ultra has nothing to buy, so Buy codes does not appear. For the price per code, see the pricing page.
You can get and print codes while your audio guides are still open. They only start working for visitors once closed mode is on.
Download or print a batch
A ready batch has three buttons. Each one first asks Which codes: Only the unused ones (the default) or Every code of the batch. Choosing the unused ones means you never print again codes that are already spent.
| Button | What you get |
|---|---|
| Download PDF to print | A4 sheets of 10 cut-outs, each with the code, a QR code that fills it in, your logo and short instructions. |
| CSV | A spreadsheet with Code, State, Redeemed (UTC) and Cancelled (UTC), for your ticketing system or a mail merge. |
| Print on a thermal printer | One ticket per code on a 58 mm or 80 mm roll, choosing a range of ticket numbers. |
Thermal printing is explained step by step in Close your audio guide with access codes.
Follow each code
Press View codes on a batch to see all its codes. Search for one with Search a code, or filter by State. The Redeemed column shows when each code was first typed; an active one also shows Pass until and the time its pass ends.
| State | Meaning |
|---|---|
| Unused | Nobody has typed it yet. Ready to hand out. |
| Active | A visitor typed it and their pass is still running. |
| Used | The pass is over. The code does not open anything any more. |
| Expired | It was not used before the expiry date of its batch. |
| Cancelled | An administrator cancelled it. |
The list shows 100 codes at a time; press Show 100 more to see the rest. Under Statistics, the Access codes card also counts the codes used in the period and those still unused.
Cancel a code
Cancel a code when it went to the wrong person, was shared online or a visitor's ticket was refunded. Only Unused and Active codes can be cancelled, and only by administrators.
In Plan and credits → Codes, press View codes on the batch.
Find the code with Search a code.
Press Cancel on its row, then Cancel code to confirm.
Cancelling cannot be undone. Nobody can use the code again, and if a visitor is listening with it right now, their pass ends at that moment.
When codes expire
- Unused codes expire 12 months after the batch was created, whether you bought it or got it with your plan. A gift from Muvo may carry its own date. Each batch shows Unused ones expire on and the exact date.
- Expired codes change to Expired and stop working. Bought codes that expire unused are not refunded, so buy batches that match the visitors you expect.
- A code that is already active is not cut short by the expiry date: its pass runs to the end.
